How bulk spice export works from India

Short answer

A bulk spice export order usually moves through seven stages: enquiry, specification, quotation, agreement, preparation, documentation and shipment. Most delays come from details left unclear at the start, so the first two stages deserve the most attention.

1. Enquiry

The buyer states the product, form, quantity, destination and timeline. The more precise the enquiry, the more useful the first reply. See what to include in a bulk spice enquiry.

2. Specification

Both sides agree, in writing, the parameters the goods must meet: grade or size, moisture, cleanliness, and any tests your market requires. Samples may be exchanged at this stage.

3. Quotation

The exporter quotes against that specification, stating the price basis (the Incoterm, such as FOB or CIF), packaging, validity and expected timeline. Spice prices move with the crop and the market, so quotations are usually valid for a limited period.

4. Agreement

A contract or proforma invoice sets out specification, quantity, price, packaging, payment terms, shipment period and documents. Anything not written down here tends to cause disagreement later.

5. Preparation

The goods are sourced, cleaned, graded and, where agreed, processed (for example crushed, ground or steam-treated), then packed and marked as specified.

6. Documentation

Export documents are prepared for the destination: commercial invoice, packing list, transport document and certificate of origin, plus phytosanitary or analysis certificates where required. See documents commonly required for spice imports.

7. Shipment

The goods are cleared through Indian customs and shipped — usually by container from a seaport, or by air for small, urgent quantities. Kerala's main container port is at Kochi.
