Documents commonly required for spice imports

Short answer

Most spice shipments travel with a commercial invoice, packing list, bill of lading or air waybill and a certificate of origin, and usually a phytosanitary certificate. Some destinations or buyers also require a certificate of analysis, fumigation or health certificate. Confirm the list with your customs broker before the order is agreed.

Core documents

  • Commercial invoice. The seller's invoice showing goods, quantity, price and terms.
  • Packing list. Contents, weights and marks for each package.
  • Bill of lading or air waybill. The transport document issued by the carrier.
  • Certificate of origin. States where the goods were produced. A preferential certificate may reduce import duty where a trade agreement applies.

Frequently required

  • Phytosanitary certificate. Issued by the plant protection authority of the exporting country for plant products.
  • Certificate of analysis. Laboratory results against the agreed specification.
  • Fumigation certificate. Where the goods or wooden packaging must be fumigated.
  • Health or other certificates. Required by some importing countries for food products.

Requirements differ by product, destination and buyer, and they change over time. The importer's customs broker or the destination authority is the best source for the current list.

On the export side

In India, spice exporters register with the Spices Board, and goods are cleared through Indian customs with the shipping bill and supporting documents. These steps are handled by the exporter.

Getting documents right

Agree the full document list in the contract, including names, addresses and any exact wording required on certificates. Small differences between documents — for example in weights or consignee details — are a common cause of delays at destination.
